Boostlingo Events - Zoom Integration

Our platform can be used to provide live captions and simultaneous interpretation for meetings and events on Zoom. There are two types of integration options:  for on-site audiences or when captions are needed via QR code or directly on the Zoom interpretation channels. Before choosing either option, we highly recommend checking our Integration setup pre-requirements, to ensure that your configuration of your event allows for the preferred time of integration.

The integration setup consists of the following steps for event creators:

  1. Create your Zoom link as you would usually do and copy it. Please note that the link generated for integration should be without registration or any security settings that may prevent users who are external from your organization to join it.
     

  2. Log on to your Boostlingo Events account via the Europe or USA region

  3. Click "Plan Event" on the top-right of your dashboard

  4. Add all of the event detail; for the menu that appears there, select "Online Other" as the meeting location

  5. Click "Create Event"

  6. Add the languages you will be needing for the event. While our platform also supports professional human-based simultaneous interpretation, here is an example where AI-based interpretation is used for a trilingual meeting.

     

  7. Go to the "Advanced Settings" tab and click on the "Zoom" option

  8. Add the Zoom link to the window that will pop up

     

  9. Click "Add Zoom Integration" - The integration is confirmed via the green check mark that will be displayed

  10. Once you are done configuring your settings, click "Save Changes"

The basic integration is set, yet depending on where your participants are located and how they will connect, you have the following options with extra steps for live interpretation and/or captions to be accessed:
 

A. For on-site audiences or when captions are needed via Boostlingo Events in parallel with Zoom

  1. Go to the "General" tab for the event you created

  2. On the right side of the page, you will see the "Event Links' - The ones for "Audio & Captions-only widget" are the relevant ones for this case. You can "Copy link" to share via email, calendar, or directly via the Zoom chat. For on-site events, we recommend displaying the QR page in the room, either by printing it out or projecting it on a screen.

It is worth noting that for on-site occasions Boostlingo Events can also be used directly with Zoom or another platform, with more control over your audio/video stream. For more information feel free to contact us.

B. For directly feeding the interpretation onto the Zoom language channels

Please note that this setup only works for regular Zoom Meeting configurations, with no registration required. For Zoom Webinar configurations please follow case A. above.

  1. Go to Zoom and follow this official support article to enable the interpretation channels for your meeting.  You will initially have to add the email of one of your colleagues or any inbox that you can use to have the interpretation activated; you can remove that users from the interpretation booth later.

    Please note that in case you do not have the option to enable interpretation, due to your license, organizational settings or regional limitations, your participants, you can still use Boostlingo Events with Case A. above.

  2. Go back to Boostlingo Events session you created, go back to the "Advanced Settings" and click "Enable Interpretation audio" and "Save Changes" on the top-right:

    In this example, you will notice that two interpretation emails were generated - These have to be added to Zoom by corresponding to each language, as seen below:


    Make sure to save your changes on Zoom before you join it. Changes cannot be edited live, so it is important to adjust those in advance.

  3. On Boostlingo Events click "Save Changes' on the top-right - You are all set! 
    After following the steps below to run the integration, your participants will be able to access the interpretation directly via the Zoom language channels. If your participants are new to this feature, we recommend guiding them on it at the beginning of the event for how to listen to language interpretation

Running Boostlingo Events with Zoom

On the day of the event, we recommend following these steps a few minutes before the official start time:

  1. Join Zoom and start the interpretation channels

  2. Log on to the Boostlingo Events dashboard

  3. Click "Join" on the right side of it in the list of Upcoming Events

  4. Once you are ready to start the integration, you can click the Play/Start button on the top-left corner. We recommend enabling the "Cc" feature, so that you can see the captions as a confirmation the AI started

  5. After you start the event, streaming bots will be joining Zoom - Allow the "Boostlingo AI" user to join the meeting and allow it recording permissions if prompted - Case A. above is ready, For Case B. you should also allow the "Interpreter" users to join - There will be one user per language connecting as an interpreter. Please note that it can take a couple of minutes until all of the bots have joined, depending on your settings.

  6. End the event once the session is finished - This is important to ensure that no additional fees are applicable or for platform usage hours to not be deducted from your plan.
